Cigna Administrative Assistant Team Lead - Mid-Atlantic in Baltimore, Maryland

Serves as the Team Lead to the administrative staff and provide supports the management team with the majority of duties being high level administrative tasks, as well as, reporting, data management and tracking, optional services and space planning. The position requires a minimum of 3 years of experience in a similar capacity. Work requires initiative and judgment in making decisions and knowledge of department and company policies and procedures.


  • Serves as a Team Lead for the administrative staff ensuring that:

  • All best practices are shared and followed between staff sales offices

  • New and existing staff members are appropriately trained on policies, procedures, tools, best practices, etc.

  • Escalated issues are resolved in a timely fashion

  • Work load balancing measures are adhered to and in place and coverage is provided for vacations, PTO, etc.

  • Management is aware of escalated problems or issues and involved where appropriate

  • Actively participate in staff meetings and one-on-one meetings. Work collaboratively with peers, management, and project teams toward solutions, and quality improvements

  • Performs diversified and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge of organization policies and practices

  • Uses to help the sales teams track client information and makes updates and changes and utilizes SFDC reporting capabilities to prepare SMs for client meetings

  • Screens telephone calls and visitors, and resolves routine and complex inquiries

  • Schedules meetings and travel itineraries and coordinates related arrangements

  • Prepares and distributes materials for meetings and following meeting minutes

  • Coordinates events for staff meetings, client meetings, and sponsorship events.

  • Maintains sales related event tracking logs

  • Orders equipment and supplies using the portal supply system and ensures

  • Manages expenses through the Cpay system for management and the sales team

  • Follow prescribed guidelines for filing company documents and handling proprietary information

  • Complete KitTrack orders within given timeframes for each request placed

  • Partner with the Sales team to develop customer presentations, mass mailings, and other customer or producer related projects

  • Consistently deliver high quality work within established time frames; willingly assist peers and management


  • A minimum of 3 years of administrative assistant experience with progressive responsibility, sales environment preferred

  • Experience using the Microsoft Office 2010 suite of products

  • High School Diploma required

  • Demonstrated experience and leadership exercising good judgment and ability to take initiative with a confident and professional demeanor

  • Excellent verbal and written communication skills with the ability to work independently and maintain confidential information

  • Strong sense of urgency and ability to work in a very high-paced environment

  • Ability to manage multiple tasks

  • Ability to remain calm, composed, and focused in stressful situations

  • Demonstrate initiative to anticipate work flow needs and proactively plan accordingly
