Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. Work is performed fully independently.

Position Emphasis

Under the supervision of the Business Services Program Director, this Senior Business Services Professional (SBSP) is responsible for supporting the human resources, financial (including post award management), and administrative functions of the Division of Urology. In collaboration with the Business Services Program Director, this position will be accountable for supporting recruitment and payroll transactions, including incentives and additional pay. The SBSP will also manage day-to-day transactions related to HR activities for the Division, including, but not limited to: job postings, hiring, terminations, FRF preparation, drafting and finalizing LOO’s, correcting FTE’s, etc. In addition to HR transactions, this role will be expected to maintain current knowledge of Federal, State, CU Medicine, and UCD Human Resources, employment, financial and operation policies and procedures, including FMLA, ADA, Worker’s Compensation, Extended Leave, and any other pertinent regulations, to ensure compliance in all institutional employment and financial practices.

In addition to providing HR support, this position will work with the Business Services Program Director to help manage post-award financial processes for the research enterprise, including providing monthly financial status reports to all research faculty members on grant, gift, and department enrichment funding; monitoring expenses on accounts; and processing journal entries and payroll expense transactions as needed. This position requires knowledge of payroll, credentialing, human resources, procurement, and sponsored project management. This position requires minimum supervision and initiative.

This position will also assist with the operation of the Division. This will include faculty support (credentialing, onboarding, recruitment, reimbursements, etc.). This role will contribute to process improvement and policy development to ensure the smooth and efficient functioning of the Division.

The SBSP will also be the work lead for all faculty support and administration providing day-to-day supervision of the Division program assistant in this work area. The SBSP will be responsible for optimizing processes, communicating with faculty, troubleshooting problems and completing task as it relates for faculty support.

Minimum Qualifications

Graduation from an accredited college or university with a bachelor’s degree in accounting, business administration or a closely related field.

2 years of professional level experience.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.

Preferred Qualifications:

  • 2-3 years’ of work experience in healthcare administration or in providing high-level administrative support within a setting of higher education.

  • Experience working with PeopleSoft Human Capital Management Systems, mFIN financial reporting systems, Concur, Cor360 and other institutional software tools.

  • Prior experience managing funds effectively from a variety of sources.

Competencies/Knowledge, Skills and Abilities:

  • Strong attention to detail and financial management skills.

  • Proficiency in a variety of reporting tools, such as mFin or Cognos, and MS Office Suite.

  • Demonstrated ability to prepare and present analytical assessments and reports, and to communicate professionally and effectively.

  • Ability to communicate clearly and develop strong working relationships with a variety of individuals, including basic science researchers, clinical faculty, and administrators.

  • Demonstrated excellence in establishing work priorities and providing follow through, and meeting established deadlines.

  • Experience processing PETs, reimbursements, relocations, and other expenses as directed.

  • The successful candidate will be detail oriented, self-motivated, a fast learner and possess excellent organizational, written and verbal communication skills.

Salary is negotiable and commensurate with skills and experience.

This position is not eligible for overtime compensation.
